Examination Copies
Students should submit three copies of their FYPs - one for the supervisor and two for the moderators. If there is more than one supervisor, then the co-supervisor should also receive a copy. Each written summary must be presented in ring binding with clear, plastic cover and card stock backing.

All FYP material reports and collateral material are due no later than 6pm on 24th March 09.

Late policy: The penalty for late submissions is to deduct 5 points per day late off of the final grade. The weekend will count as two days. Groups who submit their media on time and then re-submit new copies a few days later are subject to the late policy.

The late penalty may be waived in the event of serious illness, death or other events beyond the students' control. The FYP committee, in consultation with the FYP supervisor and Sub-Dean, will approve the waiver and set a later deadline.

Each type of project has its own set of grading criteria. Students should work with faculty to develop their projects based upon these guidelines:

Oral Presentation
Each FYP group will have a 30-minute oral session.

The guidelines vary by project as to whether the FYP group is expected to make a short presentation or not (generally limited to 10 minutes). The rest of the session is reserved for question and answer. Students should work with their supervisor to determine what is appropriate for their project.

Examiners
The project supervisor(s) and two moderators shall determine the final grade of the FYP.

Archival Submission
Students should incorporate all changes recommended by their FYP Supervisors and Moderators. The amended report should be sent to the Supervisor(s) for final approval. After which, students are required to submit 1 copy of their FYP report to NTU’s Digital Repository - (DR-NTU) at http://repository.ntu.edu.sg/ by May 11:

DR-NTU is an online digital archive that stores and provides access to academic and research publications of staff and students of NTU. Students' work will be stored in the restricted portion of the Repository where access is given to only NTU staff and students. Please follow the following guideline (http://repository.ntu.edu.sg/drntu/procedure.htm) for submission of your FYP report. Students who fail to submit the copies on time may not be allowed to graduate.

How to prepare your document for submission
a. Orientate your page layout to portrait style.
b. Convert the full text of your FYP report to unsecured PDF format.
c. Submit your FYP report in 1 single file (e.g. put appendices, tables, bibliography, etc., together and not as separate items).
d. Accompanying materials (e.g. photo journal, video, audio, etc) in digital format are to be uploaded as separate files, preferably in common multimedia formats.
e. If your file size is above 40MB or you are unable to submit via DR-NTU due to heavy network traffic, you may submit your file in a CD or DVD to the Service Desk at ACRC.

How to name your document

Use the following convention when naming your file for submission

For FYP reports

<School code><FYP Project ID>

eg.      SCI28134.pdf [Our School Code is SCI; Your FYP Project ID comprises of 5 numerals]

For accompanying materials (e.g. photo journal, video, audio, etc), append letters "a", "b", "c", etc. after file name

eg.      SCI28134a.mpg

How to submit to the Repository
a. When your document is prepared, go to DR-NTU site.
b. Click on My DR-NTU Login to sign in using your student network account.

Please note:

• Do not use your full email address (i.e. omit "@ntu.edu.sg")
• Do not specify domain (i.e. omit "student\")

Example:

http://repository.ntu.edu.sg/drntu/images/login_screen.jpg
c. Click on the option "Start a new submission".
d. Choose the appropriate heading under the abbreviated name of your school, e.g. SCI student reports.
e. Follow the instruction on the screen and enter all the necessary information.
f. You will be instructed to upload the file.
g. Log out of the system on completion of the submission.

When to submit hardcopies

Materials which are only available in hardcopies (e.g. photo journals, feature writing books, etc.) may still be submitted to ACRC at the Service Desk. These will then be added to the Library’s collection as print materials.

Confidential Reports

FYP reports which are considered by the School to be confidential (e.g. those that contain proprietary or sensitive information of collaborating parties) could be exempted from submission to DR-NTU.The FYP Supervisor will inform the student(s) not to submit these reports and will provide the Library with a list of names of these students and their FYP topics.
